In order to run a successful business your employees will benefit from working in an environment that is clean and tidy and free of any distractions. Perhaps your team has recently grown and therefore the cleaning needs have grown also, or maybe your current cleaning company just isn’t up to scratch. Hiring the right cleaning company can ensure a professional touch is added to the cleaning, can offer reliability, as well as offering the ease of knowing you are using a company that can be trusted.

 Step 1:

The first step in hiring a commercial cleaning service is to determine the cleaning needs of the office. For example; how many employees use the office and do they use the office during the same time. This will determine the frequency that the office needs to be cleaned, once per week, five days per week, etc. From our experience an office with around 40 staff working Monday to Friday 9am to 5pm would need to be cleaned at least 3 times per week.

Determining what cleaning tasks need to be carried out during each clean will give a guide to the duration of each clean. Typical tasks involve emptying bins, cleaning desks, vacuuming and cleaning of the kitchen. However given the recent pandemic you may also want to consider a cleaning company that offers the disinfectant of keyboards, mouses, phones, photocopier touchpads etc.

Step 2:

Once you have an understanding of the cleaning needs of the office you can start the process of looking for a commercial cleaning service that can provide the service to suit your needs. There are different ways to find a reputable cleaning company including word of mouth or by doing a google search. Using a cleaning company that has been referred by another business is a great way to be sure the company is both cleaning to a good standard and reliable. Word of mouth can also be useful in understanding which cleaning companies to avoid.

When using google to search for a cleaning company it is essential to take notice of the reviews. The positive reviews should state the company’s punctuality, attention to detail, reliability and exceptional service. Perhaps not every review is a good one – this is also worth reading, maybe the review was written by a disgruntled employee or client but it can also provide valuable information about that company.

Step 3:

When interviewing commercial cleaning company’s be sure to give as much information as possible on the service you require, including frequency of cleaning, duration of each clean and cleaning tasks required. These details can be discussed while the cleaning company is given a tour of the office. This tour/ first meeting can also be used to discuss the price of cleaning the office and ask the company if they have any questions for you.

The meeting will hopefully help you determine the right fit for you, as this will determine the characteristics of the company ie are they communicative, do they arrive on time and do they feel confident they can provide the right service for your offices needs.

Step 4:

Once a commercial cleaning company has been selected a contract can be created. This contract will outline days/times of cleaning, what tasks are included, the price agreed, the cancellations policy and all other important details. The contract is important as it will ensure all parties are aware of what is expected.

Other factors to consider when the cleaning company begin is who supplies the cleaning products – the office or the cleaning company? What cleaning supplies are needed – are there specific products to use ie, eco-friendly? What preparations are needed for the cleaning to begin – do papers need to be moved? Arranging access to the office and the waste removal requirements ie recycling.

Once the cleaning company is underway it is necessary to determine the best way of communication. Communicating with the cleaning company should be done regularly. Offering regular feedback to the company will help ensure you get the best service.
